KPA lawyers – Administrative Support Roles
KPA lawyers are looking for three Administrative Support Roles to join its team in the following areas:
- Wills & Estate, based at Sandringham
- Commercial and Litigation, based at Sandringham
- Property, based at Mornington.
Administrative Support General Responsibilities:
- Check lawyer calendars for appointments and print relevant docs.
- Open new leads and matters.
- General administrative support (finding docs on files, retrieving deeds, minor document amendments etc.,)
- Document information requests.
- Scan and put in safe custody deed documents and complete deeds register
- Updating precedents.
- Follow up outstanding documents.
- Drafting of simple correspondence and documents
- Prompting and Utilising AI
- Generating draft invoices
- Familiarity with Practice software
- Answering and returning calls
- General support for fee earners
Daily:
- Check lawyers’ calendars for any appointments:
For initial appointments:
– Check if client has completed the onboard take form. Print questionnaire/intake form.
– Check and update data base for completeness and accuracy
- Opening new leads and matters:
– Lawyers will need you to open leads/matters/physical files etc., throughout the day.
– Ensure that all information is as complete as possible when opening new leads and files, including client name, contact details, referrer information, division/matter type.
– Ensure that all information which you have been given has been assigned to the file.
- Updating/creating precedents:
– Should be treated as lower priority to the above as changes are often not urgent.
– Should still be completed as soon as practicable after requests for changes come in, as these fixes give lawyers more time to spend on the matter (as opposed to fixing typos/formatting etc., on every file).
Ideally 5 days a week role (4 days may be considered)
Flexible working hours available (for example, 10.00 am – 3.00 pm)
